How we collect, use and look after the personal information you share with us through this website.

What we collect

You can browse this website without telling us who you are. We only collect personal information that you choose to send us.

When you use the contact form, we collect:

  • Your name
  • Your email address
  • The subject you choose and your message

If you email us directly, we receive your email address and anything you include in your email.

When you open a page, the website adds one to a daily count of views for that page. If you followed a link from another website, it also counts the name of that website, but not the address of the page you came from. These counts are totals only: they do not use cookies, your IP address or any other identifier, so they cannot be linked to you.

Like any website, the servers that deliver this site receive the technical information your browser sends with each request, such as your IP address, so that the page can be sent to you. We do not store your IP address in our website's database or use it to identify you.

How we use it and why

We use the information you send us to read your enquiry, reply to you and, if you ask us to, discuss or carry out work for you. Sending the contact form does not sign you up to any mailing list.

UK data protection law requires a lawful basis for using personal information. We rely on:

  • Legitimate interests. It is in our legitimate interests, and yours, for us to respond to an enquiry you have chosen to send us, to keep a record of that correspondence, and to deliver this website to your browser.
  • Steps before a contract. Where your enquiry is about work you would like us to do, we use your information to take the steps you have asked for before any contract is agreed, such as answering your questions or preparing a proposal.

Who handles it for us

We use a small number of service providers to run this website. They handle your information on our behalf, to provide their services to us:

  • Vercel, which hosts this website and delivers its pages to your browser.
  • Google, through its Firebase and Google Cloud services, which provides the database where messages sent through the contact form are stored.
  • Resend, which delivers emails sent through the website, such as a copy of your message sent to our inbox or our reply to you.
  • Typesense, which keeps a searchable record of emails sent through the website (the recipient's address, the subject and a short preview) so that past correspondence can be found.

Some of these providers may process information outside the UK. Where your information is transferred outside the UK, it is protected by appropriate safeguards as required by UK data protection law. You can ask us for details of these safeguards.

How long we keep it

We keep your message and contact details for as long as we need them to deal with your enquiry and any work that follows from it. When we no longer need them, we delete them.

Cookies

This website does not place any cookies on your device when you browse it or send the contact form. We do not use analytics or advertising cookies, and we do not load tracking tools from other companies. The only cookies the website uses are sign-in cookies for the people who manage it, which are set when they sign in.

Your rights

Under UK data protection law you have the right to:

  • Access: ask for a copy of the personal information we hold about you.
  • Rectification: ask us to correct information that is wrong or incomplete.
  • Erasure: ask us to delete your information.
  • Restriction: ask us to limit how we use your information.
  • Objection: object to our use of your information where we rely on legitimate interests.
  • Portability: ask for information you gave us in a structured, commonly used, machine-readable format, or ask us to send it to another organisation.

Some of these rights apply only in certain circumstances. To use any of them, email us at hello@evolentsolutions.co.uk. We may need to confirm your identity before we act on a request.

Complaints

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk.

We may update this policy from time to time, for example if the way this website works changes. The date at the top of this page shows when it was last updated.
